Set up your company in Filmo
Get your account ready in order: company and tax data, invoicing preferences, payment methods, custom fields, your team and your subscription.
The account's owner and administrators. Most of these settings are only for administrators.
What you see in «Settings» depends on your role and your account's add-ons.
Before your first real job, take an hour to tell Filmo who your company is and how you invoice. What you set here becomes the default for everything you create afterwards, so it pays to do it in this order. Each step links to the article with the details.
Before you start
You need to be the account's owner or an administrator. Settings apply to the whole account and to what's created from then on: they don't rewrite quotes or invoices you already have.
Set up your company
- Fill in the account data In «Settings» → «Company» → «Account data», enter the name, organization type, currency, logo and colors, time zone and formats. See Account data settings.
- Add your tax data In «Company data», enter the legal name, tax ID, fiscal address and «Fiscal country», then choose your «Taxes used by the company». See Tax and company data.
- Set your invoicing preferences In «Settings» → «Finances» → «Sales invoicing preferences», choose the default taxes, the collection account and the numbering of each document type. Do the same in «Purchase invoicing preferences». See Sales invoicing preferences.
- Set up how you collect In «Payment methods and SEPA», add your payment methods and, if you collect by direct debit, your SEPA details. See Payment methods.
- Add your own fields In «Custom fields», add the information your records need that the standard fields don't cover. See Create a custom field.
- Invite your team In «Settings» → «Team and security», click «New member», enter their emails and choose a «Role». See Invite team members.
- Check their permissions Each role gives view or edit access to each module. Adjust it so each person sees what their work needs. See Roles and permissions.
- Group your companies, if you have several If you work with other legal entities, countries or tax IDs, group the accounts in an organization. The main account pays and each account keeps its own data. See Create an organization.
Your account is ready for real work. A few things to know about what you just did:
- The fiscal country decides which taxes you can use. Changing it later changes the tax catalog and clears your «Taxes used by the company» selection.
- Default taxes, accounts and formats apply to what you create from now on, not to documents you already have.
- During the free trial, inviting people costs nothing. When you subscribe, active members and pending invitations count as paid users, so cancel the invitations you no longer need first.
- Once you've subscribed, inviting someone when every user seat is taken buys another seat.
What happens next
Load your catalog and contacts from spreadsheets (Import your data into Filmo), or create a few items by hand (Create an item). Then try Your first order and quote.
From free trial to subscription
Signing up yourself starts a 14-day free trial, with no card. Every module is open, the account comes with sample data and some free so you can try things, and NEO works in its «Fast» mode only.
- The top bar counts the days left. «Activate account» there, or «Activate plan» in «Settings» → «Plan & billing», opens the subscription wizard.
- There are no fixed plans: in the wizard you choose the number of users, the modules and, if you want one, an AI credit pack, add your billing details and pay in Stripe.
- When you activate, if the account still has the sample data, Filmo offers to start from scratch. It never deletes your data on its own.
- If the trial ends before you subscribe, Filmo is replaced by the «Your free trial has ended» screen until you subscribe or extend the trial.
See How the free trial works, Activate your subscription and Reset account data and start from scratch.
Frequently asked questions
No. You can create orders and quotes straight away and come back to the rest. We recommend finishing the tax data and the invoicing preferences before your first invoice, because default taxes and numbering apply to what's created after you set them.
Not unless you choose to. Filmo offers to start from scratch when you activate, and you can also reset the account data yourself later, once.
