Items, kits and units
Bulk and serialized items, stock and where it lives, kits, spaces, and how staff and vehicles come in through services.
What you rent comes in different shapes: tents you track one by one, chairs you count by the hundred, sets of items that always go out together, a venue. Filmo has a record for each shape, and the shape decides how availability is counted.
Items: bulk or serialized
An item describes something you rent, once: its name, photos and prices. When you create it, you choose how its stock is tracked: «Bulk», , or «Serialized», where each unit has its own .
For the wedding, the 120 Chiavari chairs are a bulk item: what matters is how many are free. Each frame tent is serialized, so you know exactly which tent went to Landmark Venues and what state it came back in.
Warning: Choose carefully: once an item has stock, you can't switch it between bulk and serialized from its page. See Can't change an item between bulk and serialized.
Stock and where it lives
Stock comes in with «Add stock», when you receive a purchase order, or with a from an order. Each goes to a space and, in a warehouse, to a location such as a shelf. See Add stock to an item and Organize a warehouse into aisles, shelves and levels.
Kits
A groups items that you add to an order together, such as a tent with its sidewalls. The kit has no stock of its own: whether it's available depends on the items inside it. See How kits work.
Spaces, staff and vehicles
- A space, such as a venue or a studio, has no quantity: it's either free or occupied. See How spaces work.
- Staff and vehicles aren't order lines. They come into an order assigned to a service, which sets the price and the cost. See How services work.
- Services come in three types: a is charged by the hour and assigned to people, a is charged by the kilometer and assigned to vehicles, and a is a fixed amount.
| Resource | Counted as | Held by |
|---|---|---|
| Bulk item | A quantity | Reserving the order |
| Serialized item | Individual units, each with its serial number | Reserving the order |
| Kit | The availability of the items inside it | Reserving the order |
| Space | Free or occupied | Reserving the order |
| Staff member, vehicle | Assigned to a service | The assignment, on the service line or in the planner |
Good to know
- An only takes equipment out of circulation when it blocks its availability. See How blocking a damaged resource works.
- Each catalog has its own importer to load many records at once. See Import items from a spreadsheet.
