Navigating Filmo

The sidebar, Settings, the search, the record pages and where to see your numbers: how to find your way around Filmo.

Everything in Filmo opens from the sidebar on the left, and every record (an order, a contact, an item) has its own page with the same cards around it. Learn the sidebar, the record pages and the search, and you can find anything.

The sidebar

The sidebar has a main block and four sections. You only see the entries your role and your account's add-ons allow, so a colleague's sidebar may look different from yours.

SectionEntries
Main«Home», «Calendar» (calendar, task list and «Resource planner»), «Orders», «Projects», «Subrentals»
«Filmo AI»«Ask Neo», «Workflows», «Analytics» and your own dashboards
«Resources»«Inventory» (items, kits, import templates, incidents, calendar), «Crew» (members, services, calendar), «Transport» (fleet, services, incidents, calendar), «Spaces» (spaces, incidents, calendar)
«Finances»«Dashboard», «Sales» (invoices, quotes, proformas, contracts and activity), «Purchases», «Treasury», «Consignments»
«Others»«Emails», «Contacts», «Maintenance», «Communication», «CRM», «Services», «File manager», «Web builder», «Settings»

Each person can reorder or hide entries and whole sections, so arrange it around the work you do most.

Note: In an organization with several accounts, a has a shorter sidebar: for example, «Contacts» moves to the main block. See Work in a billing account.

The sidebar scrolls: «Others» and «Settings» are at the bottom.

Settings

«Settings», the last entry in the sidebar, opens the «Configuration» page. It's where an account decides how Filmo works for the whole team: company details, taxes, numbering, the team and its roles, your plan, and also the and «Integrations». Most of it is for administrators; everyone sees their own «Personal settings». See How Settings is organized.

The search box at the top, , finds a record without you knowing which list it's in. Click it, or press the / key on any screen when you're not typing in a field.

  • It searches items and kits, orders, contacts, spaces, projects, services, vehicles and staff, plus Filmo's own pages, such as a Settings section.
  • You only get results from the modules you're allowed to view.
  • Quotes, invoices and other documents, purchases, payments and tasks aren't in it: search for them in their own list.
  • Each list has its own filter bar, and you can keep a combination you use often with «Save filters».

See Search across Filmo and Filter a list.

Record pages

Open any record and you'll find the same cards around its details:

Warning: Some actions affect the whole account. Deleting a tag removes it from every record, and deleting a folder in the deletes its files, including attachments of records.

Switch between accounts

If you belong to more than one account, for example several companies of an organization, the account selector at the top of the sidebar switches between them. The account you're in is your active account: everything you see and create belongs to it. See Switch between accounts and How organizations work.

Dashboard, Activity and Analytics: where to see your numbers

Three screens show your figures. They don't share calculations or permissions, so pick the one that answers your question:

ScreenWhereWhat it answers
Dashboard«Finances» → «Dashboard»A fixed summary of orders, contacts, inventory and operations. It doesn't measure profit.
Activity«Finances» → «Sales» → «Activity»What you've invoiced and collected, what's overdue, your conversion and what's still to invoice.
Analytics«Filmo AI» → «Analytics»Your own dashboards, asked for in plain words, with snapshots, PDF reports and dashboards that rotate on a screen.

Seeing an Analytics dashboard doesn't give you its data: each person only sees the charts their permissions let them query. See Analytics in Filmo and Who sees analytics dashboards and their data.
