Roles and permissions
Each person has one role per account: Owner, Super administrator, Administrator, Editor, Viewer or Custom, plus billing and AI roles.
Everyone has a role. People with the , or «Administrator» role assign them.
In a rental company, not everyone needs everything. For the Landmark Venues wedding, the warehouse team prepares and checks out the tents and chairs, sales prices the job and the accountant invoices it. Each of them should see what their work needs.
In Filmo, that's a : what a person can see and do in one account. Think of it as a set of keys: the role decides which doors, the modules, open for someone, and whether they can only look in or also change things. Each person has one role in each account, so the same person can be an administrator in one account and a viewer in another.
The roles
| Role | Who has it | What they can do |
|---|---|---|
| «Owner» | Whoever opened the account. There's one per account. | Everything. Can't leave the account or be removed. |
| «Super administrator» | Whoever the owner or another super administrator gives it to. | Everything, including giving the «Super administrator» role. |
| «Administrator» | — | Every module and «Business settings», and manages the team. Can't assign or change super administrators. |
| «Editor» | — | View and edit every operational module. Doesn't open the settings reserved for administrators. |
| «Viewer» | — | View every operational module, without changing anything. |
| «Custom» | — | Whatever you tick, module by module. Needs at least one permission. |
| «Filmo Support» | Filmo staff who enter to help you. | Everything. Not in the team list, takes no seat, can't be edited or removed. |
The is whoever opened the account. A can do everything, including making others super administrators. An «Administrator» does the same except that. These three roles always have every module: the module checkboxes count only for «Editor», «Viewer» and «Custom». The fourth with full access is , the access Filmo staff use.
Custom roles and permissions
With a you tick «View» or «Edit» for each module. Each tick is a : access to one module, to look at it or also to change it. Ticking «Edit» ticks «View» too.
Module permissions reference
| Group | Modules | Particulars |
|---|---|---|
| «Operations» | «Projects», «Orders», «Services», «Deliveries and returns» | «Deliveries and returns» only has «Edit». |
| «Resources» | «Inventory», «Crew», «Transport», «Spaces» | — |
| «Finances» | «Statistics», «Sales», «Purchases», «Treasury» | «Statistics» only has «View». |
| «Others» | «Lost and damaged», «Contacts», «CRM» | — |
In an organization's , the table only shows «Projects», «Statistics», «Sales», «Purchases», «Treasury» and «Contacts».
Permissions go down to the module, never to one client, order or field: whoever has «Orders» sees every order in the account.
What a permission changes on screen
| Where | What the person sees |
|---|---|
| Sidebar | An entry shows if they have «View» on any of its modules. |
| Module screens | Without «View», «Restricted access». Without «Edit», the buttons to create or change things are hidden or greyed out. |
| «Settings» | The cards reserved for administrators don't show. |
| Paid modules | They depend on what the account subscribes to, not on the person. A module the account doesn't have shows a padlock, even to administrators. |
NEO, workflows and the API follow permissions too: NEO acts with your role, a workflow with the role of whoever created it, and an API key with that of the administrator who created it. See What NEO can see and change.
Billing and AI roles
Billing admin and AI admin roles
On top of the role, an administrator can give a person , in «Additional Roles (Billing/AI)» when editing their permissions. The role is for whoever looks after your Filmo subscription; the role, for whoever watches the account's AI usage. An «Administrator» without them doesn't see the billing and AI administration views.
| Additional role | What it does |
|---|---|
| «Billing Admin» | Operates the subscription in «Plan & billing»: plan, seats and modules. A person can't have it together with «Billing Viewer». |
| «Billing Viewer» | Changes nothing on any screen today. |
| «AI Admin» | Sees the whole account's AI usage and manages AI in «AI usage». |
Who can assign each role
| Person | Can assign |
|---|---|
| «Owner» or «Super administrator» | Any role, including «Super administrator». |
| «Administrator» | Any role except «Super administrator». Can't change or remove a super administrator. |
| Anyone else | Nothing. |
Nobody can change the owner's role or remove them, or change the Filmo Support access. The billing and AI roles are assigned by the owner, super administrators and administrators.
Good to know
- There are no named custom roles to reuse: each custom role is set on the person's own row.
- A role change applies from the person's next action in Filmo.
- Organization roles are separate: they decide what someone manages across your accounts, not what they do inside each one. See How organizations work.
- People in your have no role: what they see depends on the contact they're linked to.
