Quote a job and get it approved
Price the order, send the quote, negotiate with versions and collect the client's approval, signature, advance payment or contract.
Each step needs the permission of its module. You only see what your role and your account's add-ons allow.
Online payment in the portal needs Stripe connected.
Landmark Venues wants a price before they confirm the wedding. Quoting in Filmo means pricing the order, sending the quote, and collecting the client's approval, signature or before you invoice.
From prices to approval
- Have your prices ready Set the account's currency and taxes, your and how each item and space is priced. See How pricing works in Filmo.
- Let the order calculate When you add equipment to the order, it works out each line's price; discounts, insurance, taxes and the deposit always apply in the same order. See How order prices are calculated.
- Create the quote In the order, «Documents» → «Add» → «Quote». If the order already has a quote, this creates a new version. See Create a quote.
- Send it «Send» emails the PDF as an attachment or a link to the . See Send a document by email.
- Negotiate with versions Each change the client asks for is a new ; the active one is the one shown, sent and signed. See Create a new version of a quote.
- Collect the answer The client approves and signs, or declines, in the portal. You can also mark the quote «Confirmed» or «Canceled» yourself. See How clients approve, sign and pay in the portal and Confirm or cancel a quote.
- Ask for a proforma or an advance, if you need one «Convert to» → «Proforma» creates a ; the client signs it or pays an advance payment in the portal. See Create a proforma and Take an advance payment on a proforma.
- Formalize it with a contract, if you use them From the order, «Documents» → «Add» → «Contract». Issue it and send it; the client signs it in the portal, or you mark it as signed. See Create and issue a contract and Get a contract signed.
- Move to invoicing «Convert to» → «Invoice» on the quote or the proforma carries its lines and advance payments to the invoice. See Convert a quote to an invoice or proforma.
What doesn't happen on its own
- A quote doesn't create an order, and confirming it doesn't reserve equipment. Reserve the order yourself.
- Statuses don't lock editing: a confirmed quote or proforma can still be changed.
- Converting a proforma to an invoice doesn't close it. It can still be signed, paid and converted again, so keep track of it yourself.
- The contract is created from the order: «Convert to» on a quote doesn't offer it.
- Approval in the portal is recorded and traceable, but it isn't a qualified electronic signature.
- A price NEO prepares doesn't apply your price template. Check it before you send.
Warning: Clients can see and sign quotes and proformas in the portal even while they're drafts.
What happens next
Reserve and run the job: Run an order from draft to completed.
