Why imported equipment shows as unavailable

Rentman drafts with future dates, jobs that were confirmed and repairs with a Rentman status keep equipment busy. Find them and cancel or close them.

Anyone who can edit orders or incidents: the «Orders» or «Lost and damaged» permission in edit mode.

After the , some equipment shows as unavailable even though nothing in Filmo seems to be using it.

What you'll see

You add the large frame tents to a new order for the Landmark Venues wedding and Filmo reports a , or an item's availability shows fewer units than you own.

Why it happens

  • This can happen if a Rentman inquiry or concept with future dates, or one in progress, came in as a «Draft». Unlike a draft created in Filmo, it holds its equipment.
  • This can happen if a Rentman job was confirmed, prepped or on location when it was imported. It came in as «Reserved», «Prepared» or «In use», and holds its equipment as any order in those statuses does.
  • This can happen if a Rentman repair said the equipment wasn't usable. It became an incident that blocks the equipment, and if the repair was in progress, completed or irreparable in Rentman, it arrived with a status Filmo doesn't use and keeps blocking.

Completed and cancelled orders never hold stock, and with no imported order does.

How to fix it

First find out what's holding the equipment: the conflict or the availability shows the orders that use it.

  1. Cancel the imported jobs that won't go ahead Open the RM- order and cancel it, or cancel its reservation if you still want it. See Cancel an order.
  2. Open the incidents list Go to «Maintenance» → «Lost and damaged», in the list view, and choose «All statuses».
  3. Find the imported repairs Those with a Rentman status show in the list but under no status tab, and the board doesn't show them. The counter leaves them out too.
  4. Select the finished ones Tick the repairs that are already done.
  5. Close them Choose «Bulk actions» → «Change status to» → «Complete», or «Lost» for equipment you won't get back.
  6. Try again Go back to the order and add or reserve the equipment.

«Complete» and «Lost» lift the block. See How blocking a damaged resource works.
