Contents of cases imported from Rentman

Rentman doesn't record which unit sits in which case, so Filmo pairs them by position: how it works, what it can repeat and where to correct it.

Anyone who can open the item sees its contents. Correcting them needs the «Inventory» permission in edit mode.

Many rental companies pack equipment in cases: a flight case with four moving heads, a tent bag with its stakes and straps. In Rentman a case lists what goes inside it, but not which specific unit sits in which case. When a comes into Filmo, the import has to decide that, and it does it with a fixed rule. This page explains the rule, so you know why a unit shows inside one case and not another.

What each case becomes

Every Rentman case becomes an item. What happens to its contents depends on how it was set up in Rentman:

Case in RentmanIn Filmo
With components and serial numbersEach unit of the item gets its own «Item content».
With components, without serial numbersThe components become accessories of the item.
Without componentsA regular item with no contents.

For each component of a unit:

ComponentHow it's assigned
Serialized itemA specific unit of the component, by position (see below). If the component has no units, it becomes an accessory.
Bulk item with stockThe quantity stated, from the stock in the unit's space or, if there's none, the space with the most stock.
Bulk item without stockAdded without stock behind it. Assign some by hand if you need it for price or stock.

The keeps Rentman's choice of whether each component shows «In quote» and «In delivery note».

Assigned by position

Filmo sorts the case's units and the component's units by their Rentman ID and pairs them in order: the first case gets the first units of the component, the second case the next ones, and so on. Say the three large tents for the Landmark Venues wedding each have a bag with two side walls: the first bag gets side walls 1 and 2, the second bag 3 and 4, the third 5 and 6.

  • It's stable: with the same data, the result is the same every time.
  • It isn't the physical truth: it doesn't prove which unit was really in which case.
  • It can repeat units: if there are more places than units of the component, it starts again from the first, and the same unit ends up inside several cases.

Units inside a case still count as available in the component's stock: the import doesn't take them out.

Correct the contents

Check the cases you send out often, and especially those where a unit appears in more than one case. Contents are on each unit's page, «Summary» → «Item content»; components that became accessories are on the item's page, under «Variants and accessories». See Add contents to a serial number and Add accessories and alternatives to an item.
