Import projects from a spreadsheet

Create projects in draft from a file, then move the dates or change the contacts of many projects without orders at once, or export them.

People with the «Projects» permission in edit mode.

When you move your project portfolio from another system, or plan a whole season in one go, you can create the projects from a file: one per row, with its dates, client, type and tags. Later, the same list lets you move the dates or change the contacts of many projects at once.

Let's create the project for the Landmark Venues wedding. Each project is created as a , with its number and access code.

Before you start

  • Create your first, with exactly the names the file will use. A type that doesn't exist makes the row fail when it's saved, not when you verify.
  • Clients are found by name among your contacts, so import your contacts first.
  • Leave the «Order» column empty: it can't be used today.

Import your projects

  1. Open the import In «Projects», open «⋯» → «Import».
  2. Download the template The has 10 columns and two sample rows. Click «Download CSV template».
  3. Fill in the rows “Landmark Venues wedding”, start 12/06/2026 09:00:00, end 14/06/2026 18:00:00, «Contact» Landmark Venues.
  4. Upload and map In «Map columns», «Name», «Start Date» and «End Date» must be mapped.
  5. Verify Click «Verify data». Errors open with ; a client name that matches several contacts opens , where your choice applies to every row with that name.
  6. Import Click «Continue» and «Import N projects».

The result shows how many projects were created and, if any, the «Errors». A row that fails when saved only adds one to «Errors», without saying which: compare the list with your file. Each project counts as created for automations.

Then complete each project on its page: the client's contact person, location, assigned staff, images and custom fields don't come in the file. See Edit a project's details, contacts and location.

Project import template and columns

ColumnHow to write itGood to know
NameAt least 3 characters.Projects with the same name are created again.
Start Date, End DateDD/MM/YYYY HH:MM:SS.Without a time: 09:00 start, 18:00 end, with a warning. The end can equal the start.
ContactThe client's name as it is in «Contacts».Capitals, accents and punctuation don't count.
Additional ContactsNames separated by commas. Each must exist.
Order—Leave it empty.
Project typeThe exact name of one of your types, same capitals.Checked only when saving.
Color# and six hexadecimal digits: #3b82f6.Empty: the default blue.
External referenceFree text.—
TagsSeparated by commas.Created with the exact text: Urgent and urgent are two tags.
  • Dates also work as DD/MM/YYYY, YYYY-MM-DD and YYYY-MM-DD HH:MM. An impossible date such as 31/02/2026 becomes 3 March.
  • Times are read in your computer's time zone.
  • Headers are recognized in several forms: proyecto, title, cliente, customer, tipo… Assign any other one by hand in «Map columns».

Change or download projects later

The two updates only accept a . For a project that already has orders, make the change on the project page. Each update starts from its own option in «Export», with the column; the file must keep exactly the exported columns, or «File format error» appears.

Update project dates in bulk

  1. Export the dates «Projects» → «⋯» → «Export» → «For updating dates». The file lists projects without orders and their current dates.
  2. Change the dates Edit «New Start Date» and «New End Date». Delete the rows of projects that don't change.
  3. Upload it «Projects» → «⋯» → «Update dates», upload the file and click «Verify data».
  4. Update Click «Continue» and «Update N dates».

Warning: The export writes times with the server's clock and the import reads them with your computer's. If they differ, untouched rows can move by some hours. Keep only the rows you're changing.

Update project contacts in bulk

  1. Export the contacts file «Projects» → «⋯» → «Export» → «For updating contacts». The contact columns come out empty.
  2. Fill in the new contacts «New Contact» changes the client. «New Additional Contacts» replaces the whole list of .
  3. Upload it «Projects» → «⋯» → «Update contacts», upload and click «Verify data».
  4. Update Click «Continue» and «Update N contacts».
  • An empty cell leaves the value as it is: you can't remove a client or clear the additional contacts with a file.
  • Unlike the project page, the update doesn't notify the contacts or update the project chat, and it doesn't check whether the project is archived.

Warning: If an additional contacts cell mixes names with one match and names that match several contacts, the row keeps only the contacts you choose in «Resolve conflicts». Check those projects afterwards, or use names that aren't repeated.

Export projects

«Projects» → «⋯» → «Export» → «Full export» downloads every project, archived ones included, as CSV: name, dates (DD/MM/YYYY HH:MM:SS), contact, additional contacts, status (draft, confirmed…), number, type, color, external reference and tags. It's a report, not a backup: it has no location, staff, orders, documents or custom fields, and it can't be imported again as it is.
