Schedule periodic inspections and vehicle ITV

Filmo has no inspection plans: combine absences, the vehicle's status, the ITV workflow and blocking incidents to cover periodic checks.

Each part follows its own permissions: «Transport» or «Spaces» for absences and the vehicle's status, «Lost and damaged» for incidents, and administrators for workflows.

Some checks come round again and again: servicing the generator every season, testing the tents' anchors before summer, the van's yearly , Spain's mandatory vehicle inspection (an MOT or annual inspection elsewhere). You want the equipment off the schedule on the day, and a reminder before it's due.

Filmo doesn't have inspection plans: there's no "every 10 rentals" rule, no due date with a history of checks, and no inspection calendar. You cover periodic maintenance by combining a few things Filmo already has.

What to use for each need

You need toUseWhat it doesn't do
Take a vehicle off the road for an inspectionA vehicle absence with the reason «Maintenance», «Inspection» or «Repair»Keep a history of inspections or warn you of the next one
Close a space for works or an inspectionA space absence with the reason «Maintenance»The same
Repeat that unavailabilityA one-off or weekly availability scheduleConfirm the inspection was done
Show a vehicle is at the workshopThe vehicle's status «Maintenance»Have dates or a history
Be reminded of the ITVThe vehicle's «Inspection date» and the workflow template «Vehicles' ITV about to expire»Block the vehicle when the date passes
Take inventory equipment out for a checkAn incident with «Blocks availability»Repeat on its own
Be reminded of one specific checkAn incident's reminder, or a task in the CalendarRepeat on its own

Remind yourself of a vehicle's ITV

Store the on the vehicle, then turn on the workflow template «Vehicles' ITV about to expire». Every Monday it looks for active vehicles whose inspection is due within 30 days, sends a notification and opens a task. The date alone doesn't notify anyone: the workflow has to be on. See Create a workflow from a template.

To keep the van off jobs on the day, add an absence with the reason «Inspection». See Block a vehicle for some dates and Add a vehicle to your fleet.

Check inventory equipment

Equipment has no absences, so the way to take the tents out for their pre-season check is an with . Complete it when the check is done. If you want a reminder before the date, add one to the incident or create a task. See Block damaged equipment so it can't be booked and Create a task.

Record what the inspection finds

If the inspection turns up a fault, create an incident for it, with a block if the resource can't be used. See Report an incident.

Good to know

  • The inspection date doesn't block the vehicle when it passes.
  • Vehicle insurance has no policy or expiry fields of its own.
  • Staff absences work the same way for people. See Add an absence for a staff member.
