Damage found on return
Record the returned equipment's condition, review incidents and availability blocks, and decide how to handle repairs or customer charges.
When equipment comes back damaged, recording the return and managing the damage are separate steps. Keep the order, the affected equipment and the incident connected so the next person can follow up.
During the return
- Identify the damaged unit or quantity in the order's return process. Check what physically came back and mark its condition accurately.
- Review the proposed incidents. Filmo can offer to create incidents for equipment marked in poor condition, carrying over the equipment, order and project. Confirm their creation; do not assume marking the condition alone creates an incident.
- Complete the incident and review the availability block. Describe the damage, add useful photos and select the affected unit or quantity. Enable blocking when that equipment must not be used.
- Check the next bookings and assign follow-up. Arrange replacement equipment in affected orders. Use the incident to track who will assess or repair it.
If the return was already completed
Open Maintenance → Incidents and create the incident manually, linking it to the equipment and the original order. If you continued the return without creating the proposed incidents, they still need this follow-up.
Decide on repair and any customer charge
An estimated repair cost is not an issued invoice. Review responsibility and the agreed terms before charging the customer. A repair ticket can help prepare a quote, invoice or purchase order for the work.
Before the next dispatch
Check the physical equipment, the incident, the unit's active status and availability. A completed return or closed repair ticket alone does not establish that the equipment is ready to leave again.
