Project profitability
Add up the revenue, costs and margin of all a project's orders and its own documents, in the Virtual, Forecast and Actual layers.
Anyone who can open the project, with the «Profitability of equipment, orders, and projects» add-on. Without it, each figure is replaced by a notice to get it, and the documents stay visible.
There's no separate profitability permission. see the tab too.
The ceremony earned well, the rehearsal dinner less so, and you billed a coordination fee on top. What you want to know is whether the wedding as a whole paid off, before and after you invoice it.
The «Finances» tab of the project adds up its orders and the documents made directly for it, in the same three layers as an order: «Virtual», from the lines; «Forecast», from confirmed quotes and purchase orders; and «Actual», from validated invoices. How each layer is worked out inside one order is in Order profitability.
The figures at the top
The metrics bar shows what's «Invoiced» against the revenue in «Virtual», the margin percentage of «Virtual», «Forecast» and «Actual», and the «Revenue» of «Virtual». A layer with no documents yet shows “-”.
The financial overview
The has a tab for each layer and the columns «Order», «Revenue», , and «Margin».
- One row per order that isn't canceled, archived ones included. In «Virtual», each order opens into its groups: «Rental», «Locations», «Staff», «Transport» and «Other».
- , for the documents made directly for the project, such as the coordination fee. It appears only in «Forecast» and «Actual», and only when it has amounts.
- , the sum of the layer for the whole project.
- «Hide internal costs» takes them out of the table and the bar on your screen only. It isn't saved.
What each layer adds up
| Layer | Revenue | External costs | Internal costs |
|---|---|---|---|
| Virtual | The figure stored on each order | The figure stored on each order | The figure stored on each order |
| Forecast | Confirmed quotes, from the orders and for the project | Purchase orders, from the orders and for the project | Those of Virtual |
| Actual | Validated invoices, from the orders and for the project | Validated supplier invoices | Those of Virtual |
- Proformas and contracts are listed in «Sales documents» but don't add up in any layer.
- The internal cost is today's, and it's the same in all three layers.
- A document with lines from several orders is split among them by its lines. If it can't be split, it all goes to its main order.
- Payments aren't part of profitability: they're recorded on the documents. See Assign a payment to an invoice or supplier invoice.
- With NEO on, «Profitability snapshot with NEO» sums up the figures for you and uses .
Why don't a project's finance rows add up to the total?
The order rows, the «No order» row and «Project total» don't count everything the same way, so in some cases the rows don't add up to the total, or an order's row doesn't match the «Profitability» card on the order. Expect a difference if:
- A quote has more than one confirmed version. «Project total» and the order rows count every confirmed version; «No order» and the order's own card count only the active one.
- You've validated a . In «Actual», the order rows and «No order» subtract it, but «Project total» doesn't.
- You compare «Virtual» with the order's card. The project uses the figure stored on the order, which adds up all its lines; the card only adds up the lines inside a group.
- An order was changed and its figures weren't updated. The project keeps the old figure until the order is saved again.
Tip: To check one order, compare its row with its «Profitability» card in the same layer. To judge the whole project, read the order rows and «No order» rather than «Project total» when there are credit notes or several confirmed versions.
