Project lifecycle and statuses

A project's status goes from Draft to Completed or Canceled. You change it by hand, it doesn't change its orders, and archiving is a separate flag.

Anyone with the «Projects» permission sees the status. Changing it, archiving and unarchiving need edit mode.

A production goes through stages: you send a proposal, the client accepts, the work happens, you invoice it and close it. Knowing where each job stands lets the team see at a glance what's coming and what's still open.

In Filmo, that's the project's status. Unlike an order, where reserving or delivering moves the status on, a project's status is a label you set by hand. When Landmark Venues accepts the quote for the wedding, you set the project to «Confirmed» yourself; its orders still need reserving on their own.

Project statuses

DraftThe project is being preparedWhen you create it in Filmo, from a file, from a web order, through the API or with a workflowYes
QuotedYou've sent the client a quoteBy handYes
ConfirmedThe client has acceptedBy handYes
In progressThe work is under wayBy hand, or when the project is created or reopened in the Campus mobile appYes
InvoicedThe work is invoicedBy handNo
CompletedThe project is closedBy hand, or when it's closed in the mobile appNo
CanceledThe project isn't going aheadBy handNo

How the status changes

  • There are no fixed steps. You can move from any status to any other, even from «Completed» back to «Draft». See Change a project's status.
  • The project and its orders aren't synced. Confirming, invoicing or canceling the project doesn't change its orders or its documents, and what happens to the orders doesn't change the project's status.
  • The public API, NEO and workflows can't change the status. Only a person can, on the project.

Archived isn't a status

Archiving hides a project you no longer need. An project keeps its status, leaves the list and doesn't accept changes or new orders until you unarchive it. You can only archive a project in «Draft» or «Canceled». See Archive or unarchive a project.

In the Calendar

The «Calendar» shows a block for each project in «Draft», «Quoted», «Confirmed» or «In progress» whose dates overlap the days you're looking at. Its «Project status» filter only offers those four. Archived projects still appear if their status is one of them. See The company calendar.

Good to know

  • Canceling a project doesn't cancel its orders or void its documents. Cancel or void each one yourself.
  • In the Campus mobile app, only the project's main client or the person who created it can change its status. The app can archive a project in any status, and reopening it there sets it to «In progress».
