Change order dates

Change the delivery and return in Dates and times: the lines that follow the order move with them and recalculate their price.

People with the «Orders» permission in edit mode. With view mode you can open orders but not change them.

Dates move. A client pushes the event back a week, or needs the equipment a day earlier. You change the dates once, on the order, and Filmo moves the equipment, the reservation and the Calendar tasks that go with them.

Move the whole order

Landmark Venues has moved the wedding to the following weekend. Let's move the order.

  1. Open the order In «Orders», click the Landmark Venues wedding.
  2. Change the dates In «Dates and times», change the «Delivery» and «Return» dates and times.
  3. Save Click «Save» in the «Unsaved changes» bar.
Click «Show» on «Dates and times» to edit the delivery and return.

Here's what moved with the order:

  • The lines that followed the order's dates, with their reservations and their delivery and return tasks.
  • The price of those lines, if their changed. A longer job charges more days at the same rate.
  • The return still has to be later than the delivery.

What doesn't move

LineWhat happens when you change the order dates
A line with its own datesIt keeps its dates.
A line that's already closed: checked in, sold, cancelled or lostIt keeps its dates.
Any line, if the order is «In use»No line moves.

Some lines move but keep their price: , services, , and lines or whose billable days you set by hand.

Tip: Once you change a line's billable days or its rate yourself, that line stops following the order in days and price. Keep that in mind before moving the dates of a job you've priced by hand.

On a reserved order

The equipment is already held, so Filmo checks it's free on the new dates before moving anything. If something doesn't fit, say another job has one of the large tents the next weekend, the dates stay as they were and Filmo lists the items without enough stock.

It's the same check as a when you reserve: lower the quantity, pick other dates or rent what's missing, then try again. See Fix a resource conflict.

Change the dates of one line

Sometimes only part of the job moves. Say the chairs need to arrive a day before the tents.

A line has two kinds of dates. Its run from delivery to return: they hold the equipment, so no one else can book it on those days. Its are the days inside that window when the client actually uses it, such as just the wedding day. They don't hold or free any stock.

  1. Open the line's price Click the price of the chairs' line.
  2. Edit the reservation Next to «Reservation dates», click «Edit» and change the dates.
  3. Choose what to update Pick «Dates only» or «Dates + days and price».
  4. Save Click «Save» in the «Unsaved changes» bar.

Filmo checks the chairs are free on the new dates before applying them. If the line has accessories, it also asks whether to recalculate them. The line now has its own reservation: it shows the amber dot «This item has special configurations» and keeps its dates when you change the order's.

Change the usage dates of a line

Next to «Usage dates», click «Edit», pick the days and click «Apply». The line shows a «Manual» tag. Usage dates always stay inside the reservation, and changing them on one line doesn't change its billable days or its price: change those in the line's price. In the Calendar, turn on «View usage» to dim the days the line isn't in use.

To go back to the order's usage dates, click «Reset» next to «Usage dates», then «Continue».

Make a line follow the order again

A line with its own reservation, usage dates or billable days stays put when the order moves. Filmo lists those lines above the others, under «1 line with custom values» (or the number of lines), with each value next to the order's.

  1. Open the list Click the arrow on «1 line with custom values».
  2. Reset the line Click «Reset» on the chairs, or the «Reset» at the top for every line.
  3. Save Click «Save» in the «Unsaved changes» bar.

The chairs take the order's dates and days again, their price is recalculated and they follow the order from now on. To reset only part, open the menu next to «Reset» and pick «Only the reservation», «Only the usage» or «Only the days».

  • On a reserved order, Filmo checks the equipment is free on the order's dates before moving a reservation back. If the order dates change during that check, it shows «The order dates have changed»: click «Reset» again.
  • If the order is «In use», lines never follow the order on their own. This list is where you bring them in line.
  • On a cancelled or completed order, the list is shown without «Reset».

To change the dates of several lines at once, use «Bulk actions». See Edit several order lines at once.

When you can't change the dates

SituationWhat you can't change
The order is «Cancelled» or «Completed»The order dates. You can't add lines either.
The order is archivedAnything: it opens read-only.
A line is cancelledIts dates or its price («Cannot change the price»).
A line is checked inIts dates.

Other ways to change dates

Many draft orders at once, from a file

In the order list, «⋯» → «Update dates» changes the delivery and return of many drafts in one go. See Import orders from a file.

With NEO, the API or the project's dates

When NEO or the API changes an order's dates, or you apply a project's dates to an order, only the order's dates change. Prices aren't recalculated.

Warning: Changing the dates from a file only changes the order's own dates: the lines keep theirs and their prices stay the same. To move the lines with the order, change the dates on the order page.
