Import orders from a file
Use ⋯ → Import in the order list to create one draft per spreadsheet row, and the bulk updates to change many drafts at once.
People with the «Orders» permission in edit mode. With view mode you can open orders but not change them.
Some work comes in batches: many similar orders that only change in their dates and client. Instead of creating them one by one, you fill in a spreadsheet and Filmo creates one draft order per row. It isn't meant for bringing in old jobs: closed orders from another system come in through the Rentman integration.
Two things to keep in mind: everything happens in draft, and once the orders exist, the bulk updates find each one by its order number.
Before you start
- If every order takes the same equipment, save it as an first, in «Inventory» → «Import templates». Landmark Venues, for example, could book the same tents, chairs and tables for every wedding of the season.
- Create any client that doesn't exist yet. The importer looks contacts and templates up by name, and doesn't create them.
Import the orders
- Open the importer In «Orders», click «⋯» and choose «Import».
- Get the template In «Upload file», click «Download CSV template» and read «Available columns».
- Fill it in Add one row per order, with at least its delivery and return dates.
- Upload and map it Upload the file and check the columns in «Map columns».
- Check the data Click «Verify data».
- Settle repeated names If a name matches several records, choose one in «Resolve conflicts» and click «Confirm selections».
- Import Click the import button, which shows how many orders it will create.
When it finishes, you see the «Orders created» and the number of errors. The import button stays off while any row has an error: fix or remove those rows and upload the file again.
What you get
- One «Draft» per row, with its own order number. Nothing is reserved until you click «Reserve» on each order.
- The template's lines, added at a price of zero. The client's discount and taxes aren't applied either: the order gets your company's default tax and no discount. Open each order to review its prices.
- A new project for each row with a project name, even if a project with that name already exists.
- Your «Order created» automations run for every order.
No duplicate check
Importing the same file twice creates the orders twice. And if fewer orders are created than rows, the result doesn't say which ones failed: compare the file with your list.
The main columns
The template's headers are in Spanish. These are the ones you'll use most:
| Column | What it does |
|---|---|
| Fecha de entrega, Fecha de devolución | Delivery and return dates. Required. Write them day first, such as 15/06/2026. |
| Hora de entrega, Hora de devolución | Times. Without them, 09:00 for delivery and 18:00 for return. |
| Contacto | An existing contact, who becomes the client. |
| Plantilla de artículos | An import template, whose lines are added to the order. |
| Proyecto | The name of a new project for the order. |
| Alias, Etiquetas, Observaciones | The order's name, its tags and a note. |
Dates and times are read in your company's time zone.
Update many draft orders at once
The same «⋯» menu has the bulk updates. They only work on drafts and only change the order itself:
| Option | What it changes | What it leaves as it was |
|---|---|---|
| «Update contacts» | The client. | The contact person, addresses, discount and taxes. |
| «Update dates» | Delivery and return. | The lines' dates and prices. |
| «Load projects» | Creates a new project for each draft without one. | Drafts that already have a project. |
| «Update custom fields and tags» | Custom fields and tags. | Anything in an empty cell. |
Each update starts from your current data: download it from «Important instructions» (for «Load projects», use «Export» → «To load projects»), change what you need, delete the rows you won't touch, upload it and click «Verify data». Never edit the «NO MODIFICAR» column: it holds the order number.
Check the times in the «Update dates» file
The downloaded file can write the times in a different time zone from your company's. Review every time before you upload it, or delete the rows you aren't changing, or the orders may shift by a few hours.
To move an order's lines with its dates, or apply the client's conditions, make the change on the order page instead. See Change order dates.
If you see an error
These messages are shown in Spanish:
| Message | What to do |
|---|---|
| Fecha de entrega es requerido | Fill in the delivery date. |
| Fecha de entrega: Fecha inválida "…" | Write the date as DD/MM/AAAA. |
| Contacto "X" no encontrado en la base de datos | Create the contact or correct the name. |
| Plantilla "X" no encontrada en la base de datos | Check the name in «Inventory» → «Import templates». |
| El pedido "X" no está en estado borrador… | The order is already reserved. Change it on the order page. |
| Pedido "X" no encontrado | The order number was changed. Don't edit «NO MODIFICAR». |
Every column, date format and message is described in the Importers guides on order import, updating dates, contacts, custom fields and tags, loading projects and exporting orders.
