The items list and item page

Find any item, read its stock and history, and see where each task lives on the item page.

Everything about your equipment is in «Inventory» → «Items»: a list of every , and a page for each one where you set it up and see where it has been.

The items list

The list has four tabs:

TabWhat it shows
«All items»One item per row, with «Stock calculation», «Total quantity», «Base price» and «Tags». You can add columns such as «SKU», «Minimum stock» or «Collection».
«Serial numbers»Every unit of every serialized item, with its status and the order it's on.
«Bulk stock»Every stock row of every bulk item, with «Available», «Prepared», «In use», «Returned» and «Total».
«Stock entries»Every stock addition in your account, from a purchase or a subrental.

In «All items», the «Total quantity» of a item is what's in the warehouse right now. It leaves out what's prepared, out on a job, or returned but not yet . For a item, it's the number of units.

Search by name, and filter by tags, collection, price, stock, space, supplier and more. Two filters worth knowing: «Below minimum» finds what needs restocking, and «Part of others» finds items that go with other items.

Use «Create item» at the top to add equipment. The «⋯» menu next to it has «Import», «Export» and «Update», to load or change items with a spreadsheet, and «Load images», which finds and assigns photos to items that have none.

The item page

Click an item to open its page. It has these tabs:

TabWhat it's for
«Summary»The item's setup, in cards you edit one at a time with «Edit»
«Variants and accessories»Its versions, and what goes with it
«Subrentals»Equipment rented in from other suppliers for your orders
«Stock entries»Where its stock came from
«Lost and damaged»Its incidents (bulk items, Maintenance add-on)
«Relations»Links to other records (Custom fields add-on)
«Order history», «Project history», «Activity history»Where it has been used, and what has changed

In «Summary», «General information» holds the name, collection, codes and texts; the inventory card holds the stock and «Add stock»; then come «Physical properties», the prices card and «Custom fields». The right column has the photos, , notes, tags, files and tasks. In the header, (bulk items) prints labels, and «⋯» has «Delete item».

Each unit of a serialized item has a page of its own. See The serial number page.

Item history: orders, projects and activity

Items, units and each keep their own history, in the same tabs:

TabAnswers
«Order history»Which orders has it been on?
«Project history»Which projects has it been part of?
«Activity history»Who changed what, and when?
«Stock entries»Where did its stock come from? Additions, transfers between variants and sales, but not corrections made by hand.

To see when equipment is busy over the coming weeks, open «Inventory» → «Calendar». To run an automation on an item or a unit, use «⋯» on its page.
