Create degrees, courses and subjects

Build your degrees, courses and subjects in Subject Management, import or export them, and know what deleting one removes for good.

Account administrators: the owner and the «Super administrator» and «Administrator» roles. The Campus settings don't open for anyone else.

Only in .

Before students sign up, they need something to choose. In a film school, the “Film and Television” has a called “Second year”, and that course has the “Documentary Workshop”. Students pick their degree and subjects when they sign up, and that choice decides which equipment, spaces and posts they see in the .

Build the structure

  1. Open «Subject Management» Go to «Settings» → «Campus Settings» → «Subject Management».
  2. Create the degree Click «New Degree» («Add first degree» if there are none yet) and type “Film and Television”.
  3. Add a course Inside the degree, click «Add course» and name it “Second year”.
  4. Add the subject Inside the course, click «Add subject» and name it “Documentary Workshop”.
  5. Link the teachers On the subject, open «Manage staff for…» and choose who teaches it.
Degree, course and subject nest in one tree; each level has its own «Add» button.

The subject is ready: students can choose it when they sign up, and you can limit equipment, spaces and posts to it.

Note: Only staff can be linked to a subject. Links to other staff types made earlier can only be kept or removed. See How staff members work.

Rename, reorder or find

  • Rename with «Edit» in the row's menu. Everything linked to it keeps the link.
  • Reorder by dragging the row's handle. It doesn't work while a search is active: Filmo asks you to clear the search first.
  • Search by degree, course, subject or teacher. «Expand all» and «Collapse all» open or close the whole tree.

Where subjects are used

WhereWhat it does
Sign-up in the appA student chooses a degree and subjects from that degree; a teacher, subjects from any degree.
Items, kits and spaces«All subjects», «Specific subjects» or «Not shown in app» decide who sees them.
«App posts»The same choice, for each post.
ContactsA user's degree and subjects are copied to their contact.
OrdersThe «Subject» field in «Additional information» and the «Subjects» filter of the list. From the app, a student can only choose one of their own subjects.
StaffThe subjects each instructor teaches.

Import or export subjects

When you have dozens of subjects, a spreadsheet is faster. «Export subjects» downloads the whole structure as CSV or XLSX, with each row's identifier, so you can edit the file and import it back to update what's there.

  1. Open the import In «Subject Management», click «Import».
  2. Upload the file In «Upload file», choose your CSV or XLSX.
  3. Map the columns In «Map columns», match each column of the file with its field.
  4. Check the result «Verify» shows what will be created, updated and deleted. If there are blocking errors, fix the file and upload it again.
  5. Confirm If the import deletes anything, Filmo asks you to confirm it in «Confirm import with deletions».

Warning: Read the section below before you confirm an import that deletes degrees, courses or subjects: what it removes can't be brought back.

Delete a degree, course or subject

Warning: The deletion window says the structure will be archived and that orders and projects keep their history. That isn't so: deleting is permanent and can't be undone.

Deleting a degree also deletes its courses and subjects, and deleting a course deletes its subjects. For each subject deleted:

  • Items, kits, spaces and posts lose it. If it was the only subject they were shown to, they become hidden in the app; they don't become visible to everyone.
  • Every who had it loses it, and so does their contact. If their degree is deleted, they're left without one.
  • Orders that had it are left without a subject, and projects lose the link.
  • Instructors are no longer linked to it.

Before you delete, check which equipment and spaces were limited to it, and give them another subject. Then open the row's menu and click «Delete».
