How Campus works
Campus lets a school lend equipment and spaces to students and teachers, who request them from a mobile app. The key ideas and where everything is.
Everyone on your team, for what their permissions allow. The Campus settings open only for account administrators.
Only in . An account becomes one when its «Organization type», in «Account data», is one of the «Education» types.
Schools and universities lend cameras, microphones, lights and rooms to their students and teachers, much as a rental company lends them to clients. The difference is who asks: instead of a client calling for a quote, a second-year student needs a camera kit for next Tuesday's “Documentary Workshop” shoot and asks for it from their phone.
Your team works in Filmo as any rental business does: equipment, spaces, orders, deliveries and returns. Students and teachers use the , a mobile app where they browse what you lend, request it, organize themselves into projects, sign for what they collect and talk to you. Think of it as a shop window where nothing is paid: every request reaches you as an order for your team to review.
Four ideas to start with
- Access is by request. Each person sends an from the app, and your team approves it, unless you approve requests automatically. A person belongs to one institution at a time.
- Every is a contact. When you approve a request, the person is linked to a contact in Filmo, their . Their orders, projects and files are made in that contact's name. Without one, they can browse but can't send requests.
- What each person sees depends on the academic structure you build: , the inside each degree, and the inside each course. Each student chooses theirs, and each item, kit, space or post can be limited to some subjects.
- The app requests, it doesn't reserve. A request arrives in «Orders» as a : nothing is held until your team reserves it.
Who does what
| Person | What they do |
|---|---|
| Account administrators | Open «Campus Settings»: set up the app, approve and remove users, and build degrees, courses and subjects. |
| People with «Inventory» or «Spaces» in edit mode | Choose which items, kits and spaces show in the app, and for which subjects. |
| People with access to «Orders» | See the requests from the app and show the signing QR code at delivery and return. In edit mode, they can also set an order's subject. |
| Anyone on your team | Answer the app chats and publish «App posts». No permission is needed. |
| Students and teachers with an approved request and a linked contact | Use the whole app: catalog, lists, cart, orders, projects, files, chats, posts and notifications. |
| Approved students without a linked contact | Browse the catalog, save lists and fill the cart, but can't send requests or see projects, orders or files. |
| People with a pending or rejected request | See only the status of their request and their profile. |
Screens with other names in Campus accounts
| Usual name | In a Campus account |

| «Business settings» (in «Settings») | «Campus Settings» |
| Client portal (account menu) | «Student portal» |
| «Contractor» staff | «Instructor» |
| «Customer portal» shortcut (in «Communication») | «App chats» |
The is your client portal under another name. staff are the teachers you can link to subjects; see How staff members work.
Access request statuses
| Status | What it means | Effect |
|---|---|---|
| «Pending» | The person signed up and is waiting for review. | No access to the app. They can't sign up at another institution until it's resolved. |
| «Approved» | You accepted the request, or it was approved automatically. | Access to the app; with a linked contact, also to orders, projects and files. |
| «Rejected» | You rejected the request, or expelled the user. | They lose access and their contact is unlinked. They can sign up again. |
| «Left» | The user left your institution from the app. | They lose access and their contact is unlinked. They can sign up here or at another institution. |
Warning: «Approve request», on the detail of a rejected user or one who left, marks them «Approved» but doesn't give them back access to the app. Ask them to sign up again in the app, and approve the new request.
What students see
Each item, kit and space decides who sees it with its card: all subjects, some subjects, or nobody.
| Resource | Shows in the app when | Default |
|---|---|---|
| Item | Its visibility allows at least one of the student's subjects. | Visible to everyone, without availability. |
| Kit | Its visibility allows it and all its components still exist. Each component's own visibility doesn't count. | Visible to everyone, without availability. |
| Space | It's «Public», active, and its visibility allows it. | Spaces start «Private», so none shows until you make it public. |
How to set it: Item visibility in the Campus app (kits have the same card) and Space visibility in the Campus app.

Good to know
- Nothing is paid in the app. If you charge for anything, you set the prices on the order and invoice it as usual.
- Turning off the app stops new sign-ups, but people already approved keep using it. To remove someone, expel them.
- Deleting a degree, course or subject is permanent, even though the warning says it's archived.
