Workflow statuses: Draft, Live, Paused and Archived
A workflow starts by itself only in Live: it needs a published version and its switch on. Draft, Paused and Archived workflows wait.
Anyone who can open a workflow sees its status. Changing it needs an account administrator.
Workflows isn't open in Filmo yet: the sidebar shows it as coming soon and its pages can't be opened. This article describes how it works once it's available in your account.
A workflow's status tells you one thing above all: whether it starts by itself when its happens.
Every status comes from two facts: whether the workflow has a , and whether its switch is on. It's like a shop: the published version is the stock on the shelves, and the switch is the sign on the door that says open or closed.
The statuses
| Status | What it means | Does it start by itself? |
|---|---|---|
| «Draft» | It has no published version yet, for example because it was just created from a template. | No |
| «Live» | It has a published version and its switch is on. | Yes, with the latest published version |
| «Paused» | It has a published version and its switch is off. | No |
| «Archived» | Removed from the list. Archiving also pauses it. | No |
“Starting by itself” covers events, schedules, and . From the editor you can launch a workflow by hand whatever its status; the «Manual workflows» widget and «Run workflow» on a record only launch workflows in «Live». Archived workflows appear in the list only with «Status» → «Archived».
Unpublished changes
A workflow in «Live» can also show : «It is live, but running the previous version. Publish to run what you see.» Its triggers keep running the published version until you publish.
Versions
- Each time you publish, Filmo freezes a new numbered version.
- Each uses the version it started with, even if you edit, publish again or pause the workflow afterwards. The run's detail shows the version that ran.
- There's no screen to see or restore earlier versions. «Discard» only takes the editor back to the version published now.
How a workflow changes status
| From | What you do | To |
|---|---|---|
| New | «New workflow» → «Configure a trigger» | «Live» |
| New | «New workflow» → «Start with a template» | «Draft» |
| «Draft» | «Publish and activate», or turn on the Live switch | «Live» |
| «Live» | Turn off the Live switch | «Paused» |
| «Live» | «Publish» with required fields still empty | «Paused» |
| «Paused» | «Resume» or «Publish and activate» | «Live» |
| Any | «Archive», in «Workflow settings» | «Archived» |
| «Archived» | «Restore» | «Paused» |
Good to know
- Pausing or archiving a workflow doesn't stop runs that are already queued, waiting or running.
- A webhook address stops accepting requests while its workflow is paused.
- A restored workflow comes back «Paused», not «Live». Switch it on again when you're ready.
