Delivery, return and imported tasks
Filmo creates delivery and return tasks when you reserve an order and imports events from Google Calendar; each kind changes in its own place.
Some tasks in your calendar weren't created by anyone on your team. Filmo creates them for you when an order is reserved, and turns events from your Google Calendar into tasks. They look like any other task, but they follow their own rules: knowing where each one comes from tells you how to change it.
Delivery and return tasks
When you the Landmark Venues wedding, Filmo creates its : one for each , on the day the equipment goes out or comes back. If all the equipment goes out on Friday and comes back on Monday, you get one delivery task on Friday and one return task on Monday.
- Each one links to the order's delivery or return page.
- They're published to the Google Calendar of the people assigned to them.
- You can't delete them from the task window, and you can't change their type.
- Cancelling the reservation or the order deletes them.
Warning: When you cancel an order or its reservation, its delivery and return tasks disappear from Filmo, but their events stay in the Google Calendars where they were published. Delete them there by hand.
Imported tasks
An comes from an event in a Google Calendar that someone brings into Filmo. It shows in purple, with the provider's name and the notice «This task comes from Google Calendar. Edit it in Google Calendar so the changes sync back.»
- In Filmo it's read-only: you can't edit, complete or delete it.
- It doesn't appear in «Overdue tasks».
- If the event is changed in Google Calendar, the task changes; if the event is deleted, the task is deleted.
To set it up, see Import events from your calendar into Filmo.
Tasks that block availability
A holds its owners like an internal service. Only NEO and the API can create one; the task window can't. It shows with a lock and «Blocks availability».
- When it's saved, Filmo checks that none of its owners has an absence at that time.
- In the planner it counts as an overlap warning, but it doesn't stop you assigning those people other work.
- It doesn't affect vehicles and doesn't appear in the staff calendar.
Warning: If you open one of these tasks, the window treats it as an internal service: saving or deleting from there doesn't change the task. Change it through NEO instead.
The task kinds side by side
| Kind | Who creates it | Can you edit it? | Can you delete it? |
|---|---|---|---|
| Your own task | Anyone, from the calendar | Yes | Yes |
| Delivery or return task | Filmo, when the order is reserved | Yes, except its type | No: cancel the reservation or the order |
| Imported task | Filmo, from a Google Calendar event | No: edit the event | No: delete the event |
| Task that blocks availability | NEO or the API | Only through NEO or the API | Only through NEO or the API |
Why can't I edit or delete a task?
The task window won't let you change or remove a task. Look at what kind it is:
- This can happen if it's an imported task. Edit or delete the event in Google Calendar; Filmo follows.
- This can happen if it's a delivery or return task. It belongs to the order: you can't delete it or change its type, and cancelling the reservation or the order removes it.
- This can happen if it blocks availability. Change it through NEO.
- This can happen if «Save» is greyed out because the title is empty, or Filmo says the end date can't be earlier than the start date. Fill in the title or correct the dates.
- This can happen if Filmo says there are unavailable resources in the period (shown in Spanish). The task blocks availability and one of its owners has an absence: change the dates or the people.
