What syncs between Filmo and Google Calendar
Your assigned tasks and internal services go to Google; titles, times and deletions come back. Planner assignments and orders don't sync.
Once your team connects their calendars, it helps to know exactly what travels. is personal: each person sees only the tasks and internal services assigned to them, and changes can go both ways.
Filmo decides whose they are through the staff record linked to each user, not through the calendar's email address. When the call to Landmark Venues is assigned to Ana, it appears in Ana's and nobody else's.
What Filmo publishes
When a task or internal service is created, changed or deleted in Filmo, its copy changes in the «Filmo» calendar of each assigned person who has connected. Removing a person from the task removes the event from their calendar.
| In the event | Content |
|---|---|
| Title | The task or service title. When it's completed it starts with «✓» and turns grey |
| Date | The task's date, all day if it is. Internal services always have a time |
| Description | Filmo's description, plus a block with the project, the related record and a link to open it in Filmo |
| Guests | The assigned people with an email, if that setting is on |
The Filmo creates when an order is reserved are published too, to the people assigned to them.
What comes back from Google Calendar
| If someone… | In Filmo |
|---|---|
| Changes the title or time of an event published by Filmo | The task or service changes. Other people's copies update at the next change in Filmo |
| Deletes an event published by Filmo | Only their copy disappears; the task stays in Filmo |
| Creates an event in the «Filmo» calendar | A regular task is created, assigned to them |
| Creates or changes an event in an imported calendar | A read-only imported task is created or updated |
| Deletes an event that created a task in Filmo | That task is deleted |
If the same thing is changed in both places, the last change wins.
When it syncs
- From Filmo to Google: right away, when something changes.
- From Google to Filmo: when Google notifies a change, and in any case every 10 minutes.
- «Sync now» checks the last 7 days and the next 90 at once.
What doesn't sync
- Assigning people from the planner, or by dragging in the staff and vehicle calendars, doesn't update their events.
- Cancelling an internal service doesn't remove its event.
- Cancelling an order or its reservation deletes its delivery and return tasks in Filmo, but their events stay in Google Calendar.
- Editing in Filmo a task that was created in the «Filmo» calendar doesn't change the original event.
- Projects, orders and services sold in orders aren't published. A workflow can create an event if you need one.
- Filmo's colours and icons don't reach Google Calendar.
Warning: Because of these gaps, after you assign people from the planner or cancel an order, check their Google Calendars: add or delete the events by hand if needed.
