How an order's consignment split is calculated

Which lines count, how each owner's amount is worked out from the line price after discounts, and where you see it on the order.

Anyone who can open the order sees its card, in an account with the Consignments add-on. Changing a percentage on the order needs the «Orders» permission in edit mode.

Every time you rent out , part of the money belongs to someone else. Filmo works out that on each order, line by line, so you can see what each is due before you make the .

On the Landmark Venues wedding, the line with the events company's 40 Chiavari chairs comes to 400 after discounts. The events company owns 30 %, so 120 is theirs and 280 is yours. If you change the price or the discount before you settle, both figures follow.

Which lines count

A line is consigned when the unit or stock row it uses has owners. It doesn't matter how the line was added: Filmo looks at the unit or the row.

  • Equipment with serial numbers: each consigned unit on the line counts; the line's other units are yours.
  • Bulk equipment: the line counts if it takes its quantity from a consigned row, the «warehouse · owner» option. See Choose serial numbers for an order.
  • Accessories count like the main equipment, with their own price.
  • The included in an item count as consigned but with a base of 0, because they're included in the main item's price. Their says so: «Included in the main item's price: does not generate commission for the owner».
  • If a line stops using a consigned unit or row, it leaves the split. Anything already settled is kept apart.

How the amount is worked out

  1. The base Filmo takes the line price (unit price times quantity) and subtracts its and, if the line takes part in it, the . A free line contributes 0.
  2. Per unit With serial numbers, the base is divided by the line's quantity and each consigned unit takes its part, rounded to cents. The parts may differ from the total by a few cents.
  3. The split Each owner gets their percentage of the . You keep the rest, .
  4. Live until settled Until the share is settled, the figures use the order's current prices, discounts and owners.

Only the equipment rental is split. , the and services aren't included.

Warning: With a fixed-amount global discount, each consigned line that takes part in it has the whole amount taken off its base, not its proportional part, so owners come out with less. On orders with consigned equipment, use a percentage global discount, or check each owner's amount before you settle.

The «Consignments» card on the order

Once the order is saved and has consigned lines, the «Consignments» card appears in its right column. For each line it shows the item, serial number and quantity, and for each owner their percentage, their amount, the («No PO» if there's none) and its invoice («Not invoiced» if there's none).

The order's «Consignments» card, with «View all».

«View all» opens the «Consignments» dialog, with the grouped by owner and the «Total consigned for the order» at the bottom. There you can change an owner's percentage for this order and create the settlement purchase order. See Settle an owner's share from an order.

Each line shows its base, the owner's percentage and their amount.

Note: The card and the dialog always show amounts worked out live, even for shares already settled. The frozen amount of a settled share is the one on its purchase order and in «Consignments» → «History».

On the delivery and return pages

The delivery and return pages show the «Consignments» card without amounts or percentages. Each row with consigned equipment has a badge reading «This line contains N consigned units», with their owners. When you choose units on the order, consigned ones carry the CS badge with their owners and «Our %».

Good to know

  • Cancelling the order doesn't take its lines out of the split. Its pending shares stop counting as owed in «Owners», and settled ones stay committed.
  • Selling consigned equipment on a sale line splits the sale price the same way.
  • Once a line is settled, you can't remove it from the order or change its unit or row until you correct the settlement. See Fix “line already settled” when saving an order.
