Add insurance and a deposit to an order

Click «Insurance» or «Security deposit» in the totals. Insurance is part of the total; the deposit is a guarantee shown below it.

People with the «Orders» permission in edit mode. With view mode you can open orders but not change them.

Valuable equipment is leaving your warehouse, and you want some cover in case something happens to it. An order can carry two things for that: , which the client is charged as part of the total, and a , a guarantee that's noted below the total and isn't part of it.

Before you start

An administrator sets the defaults for new orders in «Settings → Orders → Insurance, deposit, and discount». If you don't see an «Insurance» row in the totals, insurance isn't enabled there; the deposit row is hidden only if the deposit is disabled there.

Add insurance

Let's insure the Landmark Venues wedding at 5%.

  1. Open the insurance In the totals, click «Insurance».
  2. Choose the type In «Add insurance», pick «Percentage insurance» and type 5. For an amount, pick «Fixed insurance».
  3. Decide about taxes Tick «Include insurance in the tax base» if the insurance should pay taxes.
  4. Apply it Click «Apply», then «Save».
«Include insurance in the tax base» is a switch in this window.

A percentage is worked out on the insured lines, after their discounts. A fixed amount is shared among the insured lines, and only applies if one of them has an amount. With the box ticked, the insurance is spread over those lines and pays the same taxes they do; without it, it carries no tax. The box starts as your settings say.

Choose which lines are insured

Each line's price button has an «Insurance» switch; the amount itself isn't changed line by line. Lines start as the item says, and new items are created with insurance turned on. Service lines never take part in the order's insurance.

Add a security deposit

By default, the «Security deposit» is the sum of each line's deposit: the deposit per unit set on the item, times the quantity. Lines you give away still add theirs. You can change one line's deposit in its price button, or replace the whole amount with your own.

  1. Open the deposit In the totals, click «Security deposit».
  2. Set your amount In «Add manual deposit», choose a percentage or a fixed amount.
  3. Apply it Click «Apply», then «Save».
A manual deposit replaces the per-item deposits.

The row now reads «Manual deposit». A percentage is worked out on the «Total», taxes included. Either way, the deposit never adds to the «Total», and noting it on the order doesn't move any money.

Warning: For a percentage, the preview in the deposit window is worked out on the subtotal before discounts, so it can show a different figure. The amount in the totals is the right one.

What happens next

Insurance appears as its own row between «Subtotal» and the taxes, and the deposit below the «Total». Quotes and invoices you create from the order show its insurance without letting you edit it, so settle it on the order first.
