Delete a contact

Deleting a contact is permanent and also removes its mandates, consignments and portal access. What's deleted, what's kept, and what to do instead.

People with the «Contacts» permission in edit mode. With view mode you can open contacts but not change them.

A can't delete contacts: delete them from the source account.

Delete a contact only when it shouldn't exist, for example one you created by mistake. Deleting is permanent and takes more with it than the window says.

Before you start

The window doesn't say everything that's deleted

Besides its links, notes, files and tasks, Filmo deletes the contact's SEPA mandates and direct debits, the consignments it owned, its payment methods, its portal access and its Campus degrees and subjects. And it doesn't stop you deleting a contact that has orders or documents.

Check its «Order history», «Sales» and «Consignments» tabs first. If it has history, don't delete it.

Delete the contact

  1. Open the menu On the contact's record, click «⋮» and choose «Delete contact».
  2. Read the warning The «Delete entire contact?» window says the action can't be undone.
  3. Confirm Click «Delete contact». Filmo goes back to the list and shows “Contact deleted successfully”, with how many links, notes, files and tasks were deleted.
The window only mentions links, notes, files and tasks.

What's deleted and what's kept

Contact dataWhat happens to it
Links with other contactsDeleted on both records. The other contacts stay.
Notes, files, tasks and tagsDeleted
Payment methods, portal access, Campus degrees and subjectsDeleted
SEPA mandates and direct debitsDeleted
ConsignmentsDeleted: the equipment it owned becomes your own
Recorded paymentsKept, without a contact
OpportunitiesKept, without that contact or company
Units and stock bought from itKept, without a supplier
Orders, projects, quotes, invoices, contracts, purchase orders and other documentsKept, but without a client. Each document keeps the details it copied

Note: Filmo deletes in several steps. If it fails halfway, part of the data may already be gone: open the contact again and check before retrying.

Instead of deleting

  • Keep a contact that has history. It's the only way to keep its orders, documents, mandates and consignments intact.
  • There's no archive in Filmo: a contact you no longer use simply stays in the list.
  • If the contact is a duplicate, move its work to the right one first. See Fix duplicate contacts.

Other ways to delete

Integrations and workflows check first: if anything uses the contact (orders, projects, documents, purchase orders, subrentals, mandates, direct debits or consignments), they don't delete it and report it as in use.

If you see an error
