Xero connection settings: accounts and tax rates

Set the sales, expense and bank accounts and map each Filmo tax to its Xero tax rate, so invoices and payments can be sent.

Account administrators. The rest of the team sees the integration and its status, but can't connect, configure or disconnect it.

Other people see the connected account, but not these panels.

Xero needs to know where each amount goes: which revenue account an invoice is posted to, which Xero tax rate each Filmo tax becomes, which bank account receives the payments. These settings tell it, and the workflows can't go live without the ones they use.

Where to find it

«Settings» → «Integrations» → «Xero» → «Manage connection». The lists of accounts and rates are read from Xero. If one is empty or out of date, click «Sync» (or «Sync now») in that panel.

Map your taxes to Xero tax rates

The «Xero tax rates» panel lists your company's active taxes and the ones your documents from the last year carry. For the wedding invoice, the 21 % VAT needs its Xero rate before the invoice can go.

  1. Read the rates Click «Sync now». Filmo reads the rates from Xero.
  2. Check the automatic matches A tax with exactly one Xero rate at the same percentage is assigned for you.
  3. Review the suggestions 0 % taxes (exempt, not subject, intra-community, export) are only suggested, because Xero reports them differently. Confirm or change each one.
  4. Save Click «Save map».

Do the same in «Purchase tax map» for supplier invoices.

  • Withholdings such as IRPF don't appear in the map: they're never sent. See Fix an invoice that won't send to Xero.
  • A , such as US Sales Tax, isn't mapped either. Filmo uses a Xero rate with each document's percentage and creates it if it doesn't exist.

Retry the runs a tax stopped

When a send stops because a tax has no Xero rate, that tax is added to the map. Once you assign it and save, the panel says “There are N blocked runs due to …, which already have a match.” Click «Retry them» to send those documents now. See also Retry, resume or cancel a workflow run.

Good to know

  • A workflow only needs what its steps use: one that only sends invoices doesn't need the bank account; one that sends collections does.
  • If you archive an account in Xero or delete a rate, the setting turns invalid and shows again in «Pending configuration».
  • Disconnecting deletes all these settings. If you reconnect, you set them again.
