Staff rates and costs
What a person charges and costs on an order comes from their Crew service, not their record; their type decides if the cost is internal or external.
Anyone with the «Crew» permission sees a person's and costs. Only administrators (Owner, Super administrator and Administrator) can save the «Rates» card.
When you price the Landmark Venues wedding, the client pays for the hours Alex Rivera spends rigging the tents, and you want to know what those hours cost you. In Filmo, both numbers come from the service Alex is assigned to, not from Alex's record.
Think of the service as the price list and the person as who does the work. “Tent rigging” has an hourly rate and an hourly cost, and whoever you assign to it works under those numbers. Two riggers on the same job cost the client the same, and you change the price in one place.
How the service's price is worked out on the order is in How service prices are calculated on an order.
What the record's rates are for
The «Rates» card says “Default pricing applied when adding this staff member to orders.”, but today it isn't applied: a person never goes on an order as a priced line. The card stores a «Fixed price», a «Price per period» or a , and a «Default tax». You'll see them on the record, in NEO and in search, and nowhere else.
Warning: Changing a person's rates doesn't change any order. To charge a different price for Alex's work, change the service's rate in the catalog, or the price on the order's service line.
A person created by hand has no rate. An import by file can set one: a price without a pricing template is stored as an hourly price.
Internal cost and external cost
The record also stores an internal cost and an external cost. You load them by file, or administrators can ask NEO; the record's cards don't show them.
| Value | Where you see it | Effect on orders |
|---|---|---|
| Internal cost | A column and a filter in the staff list, and “Resource default: … /h” in the cost details of a «Crew» service on an order | None: it isn't copied to the service |
| External cost | Only in the export and update files | None |
What counts in profitability
An order's profitability uses the cost of each service line. Whether that cost is internal or external depends on the type of the people assigned:
| People on the service line | The line's cost counts as |
|---|---|
| All of them Employees | Internal |
| At least one Freelancer or Contractor | External, the whole line |
So if Alex (Freelancer) and an employee share the “Tent rigging” line, all of it counts as external. See Order profitability.
Good to know
- Anyone with «Crew» in edit mode sees «Edit» on «Rates», but saving fails with “Forbidden” unless they're an administrator.
- The type doesn't change taxes, and nothing on the record creates payroll or supplier invoices.
- In an update file, an internal or external cost that isn't a number clears the cost without warning. Write amounts with a decimal point (150.50).
