What internal services are
An internal service is work you don't bill, such as a cleaning day or a warehouse transfer, that keeps people and vehicles busy without an order.
Anyone who can open the «Calendar», which needs no permission of its own.
The Planner needs the «Services» permission. Changing an internal service's state needs the «Services» permission in edit mode and is done through NEO or the API.
Not every job has a client. After the Landmark Venues wedding, two people spend a day at the warehouse cleaning and drying the tents, and a truck takes the tables back to the main store. Nobody pays for that day, but those people and that truck can't be on another job.
That's an : planned work that isn't billed and holds people or vehicles without an order. Think of it as a block in the team's diary with names on it. The app describes it as a “non-billable service with assigned resources”.
How it differs from a service you sell
| Internal service | Service on an order | |
|---|---|---|
| Price, cost and documents | None | Yes |
| Where you create it | The Calendar | The order |
| Where you see it | The Calendar and the Planner | The order, its documents and the Planner |
| Keeps people and vehicles busy | While it's active | While the line and the order aren't cancelled |
| Goes to the person's own calendar | Yes, if they've connected one | No |
It has no list or page of its own: it lives in the Calendar and in the Planner. It doesn't come from your list either; you just give it a name.
Internal service states
| State | What it means | Effect |
|---|---|---|
| Active | Planned or under way. Every internal service starts here. | It shows in the Calendar and the Planner, and the people and vehicles on it are busy. |
| Completed | The work is done. | It leaves the Calendar and the Planner. A copy in a connected calendar is marked as completed. |
| Cancelled | It won't happen. | It leaves the Calendar and the Planner. A copy in a connected calendar isn't removed. |
Note: The Calendar can't complete or cancel an internal service; its dialog only edits or deletes it. To change the state, ask NEO, or use the API. A cancelled service can be made active again.
Good to know
- The type, crew, fleet or general, is chosen for you from the people and vehicles it asks for.
- Only declared unavailabilities, breakdowns and inactive vehicles stop an assignment. Being on another job at the same time doesn't, and the internal service gives no warning about it.
- On an order, a person on an internal service shows as not available, but a vehicle on one still looks free. The Planner warns you in both cases.
- When you create or change an internal service, Filmo sends it to the connected calendars of the people on it. See What syncs between Filmo and Google Calendar.
- Creating, changing and deleting an internal service can start a workflow. See Start a workflow when something happens in Filmo.
