Turn a simplified invoice into a full invoice

When the buyer later asks for an invoice, convert the simplified invoice into one with the same data. Both stay valid until you void one.

People with the «Sales» permission in edit mode. With view mode you can open, download, print and send these documents, but not create or change them.

A week after buying the gaffer tape, the camera operator asks for a proper invoice with their company's tax details, for their accountant. You don't change the receipt you issued: you prepare a full invoice from it.

«Convert to» → «Invoice» opens the invoice editor with the 's client, lines, amounts and order. The new invoice follows the rules of any : to approve it, it needs an identified client.

Before you start

If the buyer isn't a client in Filmo yet, create them first with their tax details, so you can choose them in the invoice.

Convert it

Open the simplified invoice In «Sales» → «Invoices», open it.
Convert it Click «Convert to» → «Invoice». The invoice editor opens with its lines.
Choose the client Select the camera operator's company and check its tax details.
Approve the invoice Review the lines and click «Approve». See Approve an invoice.

The «New Invoice» editor opened from the simplified invoice. The contact search box is empty, the details bar shows «Line F», and the line “LED Bistro String Lights” comes copied with a quantity of 2, a price of 45 and «Sales Tax», for a total of $96.30. Next to «Save as draft», a red «1 error» marker shows that the invoice can't be approved yet. — The lines are copied, but the invoice still needs a client: hence «1 error».

What changes

The new invoice gets the next number of the invoice when you approve it.
The simplified invoice doesn't change: it isn't voided or marked as replaced, and the new invoice keeps no link to it.

Two valid documents for one sale

After converting, both documents are valid and both count as revenue. If the invoice replaces the simplified invoice, void the simplified invoice yourself, or credit it with a .

What happens next

Void the simplified invoice so the sale isn't counted twice. See Void a simplified invoice. Then send the invoice to the buyer as you would any other.

Good to know

«Convert to» is offered whatever the status of the simplified invoice, even a draft or a voided one.
An invoice converted from a simplified invoice can't bill part of a job: «By period» and «By percentage» don't appear. See Invoice part of an order: by period or percentage.
