Invoice part of an order: by period or percentage

Bill a share of the order, such as 50 % before the event, or only the days between two dates. Filmo doesn't track what's already invoiced.

People with the «Sales» permission in edit mode. With view mode you can open, download and send invoices, but not create or change them.

«By period» and «By percentage» are offered for invoices and proformas created from an order, a quote or a proforma.

You don't always invoice a job in one go. Landmark Venues pays half of the wedding before the event and the rest after. A long rental is often invoiced month by month.

The window that opens before the editor lets you choose how much of the order goes on each invoice. Its «» has three options: «Complete» invoices everything, «By percentage» a share of the total, and «By period» only the days between two dates.

Before you start

Warning: Filmo doesn't keep track of what's already been invoiced. It won't warn you if two periods overlap or if your percentages add up to more than 100 %. Check the order's «Documents» card before each new invoice.

Invoice 50 % before the event

  1. Add the invoice On the wedding order, in «Documents», click «Add» → «Invoice».
  2. Choose «By percentage» In «Document type», select «By percentage».
  3. Enter the share Type 50 in «Billing percentage». You can type the amount in «Invoice total» instead.
  4. Create it Click «Create». The editor opens.
  5. Check the total The lines show in full, and the total is reduced to 50 %.
  6. Save it Click «Save as draft», or «Approve» if it's ready.
Half of the wedding: $3,150.00 before tax.

The invoice stores only the invoiced half: its amounts, its taxes and the are all worked out on that 50 %. On its page it's labelled as a with its percentage.

Invoice the rest after the event

After the wedding, create a second invoice the same way, again «By percentage» with 50. The two invoices together bill the whole order, and each one is paid and tracked on its own.

Invoice by period

For a rental that runs for months, invoice the days of each month as they go by.

  1. Choose «By period» In the window before the editor, select «By period» in «Document type».
  2. Set the dates Pick «From» and «Until», within the order's dates.
  3. Create it Click «Create» and check the lines in the editor.
«Create» stays greyed out until both dates are set.

Each line is invoiced in proportion to the days that fall within the period, counted on its or, if it has none, on its . The invoice page shows the «Period» in «General information».

Deduct previous invoices from an invoice

When the order already has validated invoices, the window also shows «». It lists them, and the ones you tick are subtracted from the new invoice: Filmo adds up their amounts before taxes. Deducting isn't collecting: it subtracts issued invoices, whether or not they've been paid.

The deduction only changes the total you see

The deducted amount comes off the «Total» of the editor and the PDF, but not off the total Filmo stores, its taxable base or its VAT. The payment status, the , the online payment in the portal and the all use the full total, so if the client pays what the PDF says, the invoice stays in «Partial payment». To invoice only what's pending, use «By percentage» or «By period», or adjust the lines.
