Quote statuses: draft, validated, pending, confirmed

Every quote version has a document status (draft or validated) and a commercial status (pending, confirmed, canceled or superseded).

With a few quotes out at once, you need to know at a glance two different things: is this quote ready to send, and has the client said yes? Filmo keeps those two answers apart, so a quote always shows both.

Each of a quote has a , which you set with the editor's buttons, and a , which changes when you or the client respond. The quote page, the list and the order's «Documents» card show the statuses of the .

The document status by the number, the commercial status in «General information».

Document status: is it ready?

StatusWhat it meansIt changes whenWhat it changes
DraftStill being prepared. The quote page shows the «Draft» badge. You click «Save as draft», even on a validated versionIt already has its number, but it doesn't count in the order's profitability.
ValidatedReady to send. You click «Save»It can still be edited. With «Confirmed», it counts as the order's forecast revenue.

Commercial status: what has the client said?

StatusWhat it meansIt changes whenWhat it changes
PendingWaiting for the client. Every version starts here. You create a version, activate one, or set it by handThe client can sign or decline it in the portal.
ConfirmedAccepted, by the client or by you.The client signs or pays in advance, or you set itEvery other version becomes «Superseded».
CanceledDeclined or discarded. The client declines it, or you set it«Convert to» disappears. You can set it back to «Pending» or «Confirmed».
SupersededReplaced by another version.Filmo sets it when another version is confirmed or a new one is addedYou can't choose it, but you can make that version active again.

Follow a quote through

You create the Landmark Venues quote from the order and click «Save»: v1 is and «Pending». You send it, and the client asks for 20 more chairs. You add v2 from the order's new data: v2 is now the active version and «Pending», and v1 becomes . Landmark Venues signs v2 in the portal, so v2 becomes «Confirmed».

Because v2 is both «Validated» and «Confirmed», its subtotal is now the order's . A confirmed draft wouldn't count yet.

Good to know

  • Nothing locks. A validated and confirmed version can still be edited, confirmed again, cancelled or deleted. If you want a record of what the client accepted, add a version instead of editing it.
  • The date changes no status. An expired quote stays «Pending» in Filmo, but the client can no longer sign, decline or pay it in the portal.
  • Changing the status asks for no reason and has no confirmation step: it applies as soon as you pick it.
  • Confirming a quote doesn't change the order. Reserve the order separately when the job is on.

Two versions can end up confirmed

Only confirming a version supersedes the others. Adding a new version leaves a confirmed one as it is, and so does making an older version active. If you work that way, check the «Version history» and cancel the version that no longer applies.
