How quote versions work
Each proposal is a version of the same quote, with the same number; the active version is the one shown, sent, signed and invoiced.
Negotiating a job rarely takes one round. The client asks for more chairs, a different date or a better price, and you send a new offer. You'll want to keep what you sent before, in case they go back to it.
In Filmo, each proposal is a of the same quote: v1, v2, v3… Think of them as the drafts of one letter, kept in the same folder under the same reference number. They share the quote's number, its and its links to the order and the project. Each one keeps its own lines, amounts, dates, validity, contact, addresses, currency and statuses.
For the Landmark Venues wedding, v1 has 120 chairs. The client asks for 20 more, so you add v2 with 140. The quote keeps its number, and v1 stays in the history in case it's needed again.
The active version
One version is always the , and it governs everything:
- The quote page, the list and the order's «Documents» card show its data, total and status.
- It's the one you download, print and send.
- It's the one the client can sign, decline or pay in the portal.
- «Convert to» and status changes act on it.
- Only it can count as the order's .
What happens to the other versions
| When | Pending versions | Confirmed versions | Cancelled versions |
|---|---|---|---|
| You add a version | Become «Superseded» | Stay «Confirmed» | Stay «Canceled» |
| You or the client confirm a version | Become «Superseded» | Become «Superseded» | Become «Superseded» |
| You make an older version active | Don't change | Don't change | Don't change |
The new version always starts as «Pending». A version made active again also goes back to «Pending», whatever it was. doesn't lock a version: you can make it active again.
What the client sees
In the portal, the client sees the versions and the active one, even if it's a draft. They can switch between them, and when they look at an old one the portal says “You are viewing version 1. The current version is 2.” with «View current version». Only the active version can be signed, declined or paid, and looking at another one doesn't change which is active.
Good to know
- Editing doesn't create a version. «Edit» changes the active version; add a version to keep what you sent.
- There's no comparison between versions. You can preview each one's PDF, but Filmo doesn't highlight the differences.
- Invoices and proformas made from the quote are recorded on the version that was active when you converted.
- Advance payments belong to the quote, so they stay when you add or activate a version.
