Void a credit note
«⋮» → «Void» cancels an approved credit note for good, with a reason, and keeps its number. A draft is deleted instead.
People with the «Sales» permission in edit mode. With view mode you can open credit notes and download or print them, but not create or change them.
An approved credit note can't be edited. Say you credited 20 chairs to Landmark Venues, but only 10 came back. You void the credit note and issue a new one for 10.
Voiding declares the invalid while keeping its number, so your numbering stays complete.
Before you start
- Only an approved credit note can be voided. A draft is deleted instead: see below.
- A credit note and imported or synced into Filmo can't be voided from Filmo.
- Voiding can't be undone.
Void the credit note
- Open the credit note Find it in «Sales» → «Invoices».
- Choose «Void» Click «⋮» → «Void».
- Give the reason Type it in «Cancellation reason». It's required and stays in the history.
- Confirm Click «Void Credit note».
What changes
- The credit note becomes «Voided», keeps its number and records the reason.
- It stops subtracting from the order's actual revenue. See Order profitability.
- It stays listed on its , under «Credit notes».
- In the it shows as «Voided».
What doesn't change
- Refunds recorded on the credit note stay. If you already gave money back, correct it in Treasury.
- Your accounting program isn't updated unless the voiding automation is on. See What a credit note changes.
- It can't be reactivated or taken back to draft.
What happens next
If the sale still needs correcting, issue a new credit note from the invoice. See Create a credit note for an invoice.
Warning: On a credit note, «Duplicate» opens an empty «New credit note» form without copying anything. To repeat a credit note, create it again from the invoice with «Convert to» → «Credit note».
Other ways to do it
Delete a draft credit note
A draft has no number, so you can delete it instead of voiding it.
- Open the draft Find it in the «Invoices» list.
- Choose «Delete» Click «⋮» → «Delete».
- Confirm In «Confirm deletion», click «Delete». It can't be undone.
The draft disappears and leaves no gap in the , because it never had a number. On an approved or voided credit note, «Delete» only shows a notice that it can't be deleted, but can be voided.
