Event Setup Checklist Template: From Load-In to Doors

From pre-production to the gear back on the shelf: a phase-by-phase checklist template that keeps event setups on schedule and nothing forgotten on the truck.

An event setup checklist is a phase-by-phase list of every task between a confirmed booking and the gear landing back on the warehouse shelf — pre-production, load-out, load-in, testing, show, teardown and return. Its job is blunt: nothing forgotten on the truck, nothing improvised at the venue, and one name responsible for every line.

Why do event setups go wrong without one?

Because setup failures are boring. Shows are rarely sunk by broken consoles — they're sunk by a missing adapter, an unbooked freight elevator, or a distro that doesn't match the venue's power. Each item is trivial to fix at the warehouse and brutal to fix at 6 p.m. at the venue. Memory doesn't scale across three simultaneous jobs and a rotating freelance crew; a checklist does. The one below is the template — copy the phases, adapt the line items to your inventory.

What should a complete event setup checklist include?

Phase 1 — Pre-production (T-4 weeks to T-1 week)

  • Site visit done or venue tech pack in hand: available power, rigging points, ceiling height, load-in route, freight elevator dimensions and booking, parking and dock access.
  • Final equipment list confirmed against the quote; specific units reserved in inventory so two jobs can't claim the same console.
  • Crew booked with named roles and call times — not "four techs", but who is crew chief, who owns audio, video, lighting.
  • Transport booked; truck size checked against real case volume, not optimism.
  • Venue paperwork sorted: insurance certificate, permits, noise curfews, union or house-crew rules.
  • Contingency defined: weather plan for outdoor, spare critical items identified (console, main mics, playback), sunset time checked.

Phase 2 — Load-out from the warehouse

  • Pick list scanned item by item — every serial checked out to the job, not ticked off a paper list from memory.
  • The unglamorous 10% packed deliberately: cables at +20% of calculated need, gaff, batteries, adapters, IEC leads, consumables case.
  • Every case labelled with job, destination and truck position.
  • Truck packed in reverse order of use — first thing needed at the venue goes in last.
  • Final count of cases against the pack list before the doors close. This is the last cheap moment to find a gap.

Phase 3 — Load-in and setup

  • On arrival: confirm dock, elevator and route with the venue contact; walk the path once before rolling the first case.
  • Power first — distro placed, tested and verified against the venue supply before anything else is plugged in.
  • Rigging and staging before floor equipment, so nobody builds under a truss that's about to fly.
  • Signal chain built in order: sources, then control, then outputs — and labelled at both ends.
  • Cable runs dressed, taped and matted before doors, not after the first trip hazard complaint.

Phase 4 — Test and soundcheck

  • Full test of every input and output on the patch — not just the ones used at rehearsal.
  • Wireless frequency scan done on site; the RF environment at the venue never matches the shop.
  • Backup paths physically tested: spare mic on stage, redundant playback rolling, spare cable run in place.
  • House systems checked: light states, HVAC noise, recording feed if one was promised.
  • Walk the room as a guest: sightlines, projector spill, speaker coverage, trip hazards.

Phase 5 — During the show

  • One named operator per system, plus a runner who isn't mixing anything.
  • Spares staged side-of-stage, not in the truck in the parking lot.
  • Issues logged as they happen — for the debrief, the repair queue and, when relevant, the invoice.

Phase 6 — Teardown

  • Lamps and fixtures cooled down before casing; drives and show files backed up before consoles power off.
  • Cables coiled and counted against the pack list — teardown is where gear actually disappears, at midnight, in the dark.
  • Damage photographed and noted at the venue, while cause and witnesses still exist.
  • Venue walkthrough with the client or house rep before the truck leaves.

Phase 7 — Return and check-in

  • Every serial scanned back in; gaps chased within 24 hours, while the crew still remembers which corner of the stage things were in.
  • Damaged items routed to repair — never straight back to the shelf for the next job to discover.
  • Consumables restocked, cases restaged, debrief notes attached to the job record.

What does everyone forget?

  • Consumables — gaff, batteries, zip ties. They're not in the inventory system, so no pick list ever contains them.
  • Power adapters and distro odds: the venue's 32A outlet and your 16A plug, discovered at load-in.
  • The freight elevator booking — the gear arrives, the elevator is the caterer's until 4 p.m.
  • Charging: crew radios, wireless packs and battery plates charged the night before, not on the truck.
  • Venue reality vs tech pack: the documented power and rigging points that don't survive contact with the actual room.
  • Ladder or lift access for anything mounted high — and who is certified to use it.
  • Outdoors: sunset time, dew, wind rating for anything flown, and where the generator noise lands.
  • Feeding the crew. An eight-hour load-in with no meal break shows up in the quality of Phase 4.

How do you assign owners to each phase?

A checklist without names is a suggestion. Every line gets exactly one owner — "everyone" owns nothing — and each phase gets a lead who signs it off before the next one starts:

How do you coordinate transport with the checklist?

Transport is a phase of its own pretending to be a detail. Size the truck from real case volume, not from last time. Make the pack order mirror the setup order, so load-in starts working instead of excavating. Put the driver in the comms loop with the crew chief — arrival windows, dock changes and parking permits are crew information. And plan the return leg like a job: teardown routinely ends at 2 a.m., which is a detail worth knowing before you promise the truck elsewhere at 8.

Phase 1 starts the day the booking is confirmed — ideally four weeks out for anything with rigging, power distribution or an unfamiliar venue. The expensive mistakes (elevator, power, permits) are all pre-production mistakes.
Who should own the event setup checklist?
One person end to end — usually the project manager — with a named lead per phase. The handoffs between phases are where things fall through, so each lead signs off before the next phase starts.
What's the difference between a setup checklist and a run of show?
The setup checklist gets the event built and struck: gear, crew, transport, venue. The run of show scripts what happens during the event, cue by cue. You need both; they share a timeline but not a purpose.
Paper, spreadsheet or software?
Paper works for one crew on one job, and dies at two. A spreadsheet adds sharing but not accountability. Software earns its keep when checklist tasks, gear reservations and crew assignments live on the same job — tick a phase and see it against the same record as the equipment leaving the warehouse.
How do you handle last-minute changes?
Through the checklist, not around it. A changed stage plot at T-2 h re-triggers the affected lines — power, patch, test — with the same owners. What kills setups isn't the change; it's the change applied to the room but not to the plan.
