The technical stack, crew roles, timeline and redundancy plan behind virtual and hybrid events that don't fall over on air — plus the pre-show checklist.
Virtual event production is the planning, technical staging and live broadcast of an event for a remote audience — cameras, audio, graphics and encoders feeding a streaming platform instead of, or alongside, a physical room. Today that mostly means hybrid: a live audience plus a remote one, produced to broadcast standards with redundant signal paths and a rehearsed run of show.
What does virtual event production mean today?
The emergency-webinar era is over. What survived 2020 is a permanent expectation: nearly every conference, product launch and town hall now has a remote audience, and that audience benchmarks your stream against Netflix and YouTube, not against a video call. The result is that virtual event production has converged with broadcast: multi-camera coverage, a mixed audio feed, graphics packages, and a crew whose only job is the stream.
Hybrid raises the bar further, because you're producing two experiences simultaneously. The room hears the PA mix; the stream needs its own mix. How do you budget a virtual event production?
Crew is usually the largest line at 35–45% of the budget, followed by gear rental and the venue or studio. The lines that get forgotten are the ones that hurt:
- Crew: TD, stream engineer, A1, operators — day rates times show days plus the rehearsal day.
- Gear: cameras, switcher, audio package, encoders, comms — owned, rented or sub-rented.
