Warehouse, dispatch and returns
Know what is ready, what went out and what came back.
From a dry hire collection to an event load-out, work from the equipment already reserved on the order. Prepare it, record what actually leaves and check its condition when it returns.
By quantity or by individual unit. Scanning is optional.

Four moments that keep the warehouse moving.
The same order follows the equipment from preparation to its return.
Start the day with the collections and returns that are due.
See pending deliveries and returns across orders, grouped by date. Find the lighting hire a customer is collecting and the sound system coming back from a conference, then open the right checklist.
Prepare ten lights now. Keep the other two in view.
Mark the quantity that is ready and choose the individual units for equipment with serial numbers. Save the preparation on the order so the next person can see what is ready and what still needs picking.
Make the delivery record match what actually left.
If only ten of the twelve lights leave, record those ten. Check the remaining quantity before finishing the delivery: what was not delivered is cancelled and released from the order. The finished group keeps that record fixed.
Back in the warehouse is one step. Checked is the next.
Record what came back, then check its condition. Returned equipment still takes up stock until it is checked in. If a speaker comes back damaged, mark its condition and create the Maintenance incident when closing the return.
Keep the rest of the job connected.
Find the equipment, identify each unit and follow up on repairs.
A few practical warehouse questions.
Do we need to scan every item?
No. You can prepare and deliver quantities or select individual units by hand. Scanning is optional and requires the equipment identification add-on. The same workflow works for dry hire and equipment used at events.
Does returning equipment make it available straight away?
Marking it Returned does not release it. It needs to be checked in with its condition, or processed when the return is finished. Before closing the last return, review every group and any equipment still out: finalization can also check in outstanding lines.
What if more equipment is needed after a delivery is finished?
A finished delivery cannot be reopened. Add the extra equipment to the order: for a date whose delivery is already finished, Filmo creates a second delivery group for that day.
Are damage and losses handled automatically?
A condition alert is not yet a Maintenance incident: create it when closing the return. Marking a unit Lost does not remove it from inventory. Deactivate the serial number or correct the quantity if the equipment is actually lost.
